Lincoln County Extension is hiring an Administrative Assistant
Under general supervision, the administrative assistant duties include the following:
1. Support administrative duties in the office and ensure that office is operating smoothly.
2. Perform routine clerical duties such as opening and closing, answering phones, emails, typing, searching files, filing, data entry, inventory, ordering, shredding, general arrangement and cleanup of main meeting areas, record keeping, etc.
3. Provide other administrative support as necessary, including scheduling group meetings, sending meeting alerts, maintaining calendars, creating reports, etc.
4. Working with supervisor to manage county appropriated budget and non-appropriated funds including submitting payroll, processing all invoices, preparing checks, making deposits and reconciling.
5. Work with staff to distribute publications, press releases, and work on file management of enrollment and extension related activities.
6. Acknowledge public and direct inquiries (walk-in, phone, mail, and email) to appropriate staff.
7. Work with staff to help volunteers, families, and clients with various enrollment, registration of activities and related registration platforms.
8. Work with staff and other departments as assigned on fair related planning and activities including but not limited to ordering, inventory, paperwork, reports, results, inquiries, sale components. (This requires being available for entirety of fair including some overtime during this period).
Job Qualifications:
1. High school diploma or GED-equivalent.
2. Precision data entry, extreme attention to detail, extensive communication, and documentation, and adhering to confidentiality procedures.
3. Strong organizational and time management skills, ability to prioritize, and exceptional attention to detail.
4. Strong problem-solving skills, proof reading and analytical abilities.
5. Proficient with Microsoft Office, Google, and Adobe products and experience with social media platforms and basic website updating as well as ability to learn other programs as needed.
6. Excellent communication and teamwork skills. (verbal and written)
7. (Preferred) 2+ years of work experience in an administrative and customer service role.
This is a county based full-time position (35hrs/week, M-F) with full benefits. Salary range (depending on experience) is Level 3: $3,508/month.
